Collections

Overview

6min

The ability to rapidly generate tailored documents and presentations is invaluable. This is particularly true for roles like account management and sales, where personalized communication significantly impacts client engagement and success.

Enter the concept of Collections, a powerful feature designed to revolutionize the creation of customized documents and presentations at scale.

Core concepts

Template

The foundational file from which all variations, or variants, are created. This template serves as the primary source for generating duplicate files tailored to specific needs.

Variant

Each variant is a derived file that has been customized based on one or multiple filter values. These variants act as individualized destinations for the filtered data.

Main Filter(s)

This is the chosen filter(s) from your data source designed to segment data into distinct values. Each of these values is then assigned to a variant, ensuring each variant reflects unique data criteria.

Collections example use case

You're an account manager for a B2B software company serving customers like BMW, Tesla, Nissan, and Renault in the automotive industry. Your goal is to provide each client with weekly updates tailored to their specific data. By leveraging the Customer filter in your dashboards, you can create different variants for each customer (BMW, Tesla, Nissan, Renault, etc.) in Rollstack.

Using collections allows you to quickly create customized and data-driven presentations or documents for all of your customers.

How collections work

Collections serve as a sophisticated mechanism allowing users to create multiple, distinct versions of documents or presentations—referred to as variants—from a single, unified template. This approach not only streamlines the document generation process but also ensures a high degree of consistency and personalization in client communications.

At the heart of Collections is a two-part configuration:

  1. Base Destination (Template): This is the foundational document or presentation from which all variants are derived. It acts as a template, ensuring that all generated documents maintain a consistent structure and style.
  2. Main Filter(s): One or multiple filters that define the scope of variants by specifying criteria or conditions. This filter operates on your data source, selecting distinct values that trigger the creation of individualized variants within the Collection.

Key benefits of using collections

The main benefits are:

  • Efficiency at Scale
Quickly produce client-specific presentations or documents without starting from scratch each time. Collections allow for the mass generation of customized content, saving valuable time and resources.
  • Consistent Quality
Maintain uniformity in branding and messaging across all client communications, ensuring a professional and cohesive appearance.
  • Personalization
Tailor content to meet the specific needs or interests of individual clients, enhancing the relevance and impact of your communications.

Practical applications

Collections are particularly beneficial in scenarios requiring the generation of document variants based on specific data attributes. For example:

  • Account Management
Generate custom reports for each client, highlighting metrics or achievements relevant to their objectives.
  • Sales Teams
Create personalized presentations for potential clients, showcasing products or services tailored to their needs.

By leveraging Collections, users can dynamically populate documents with various content types—be it tables, images, or text—based on the selected filter from the data source. This capability ensures that each variant is not only customized to the recipient's context but also updated with the latest data, offering a significant advantage in client-facing communications.
